Reporting your mobility

Final reporting

Once you have have completed your mobility period you need to send the following documents to Humboldts:

Letter of Confirmation (EULAlinks) (EULAsense): sealed and signed by the Host University indicating the actual arrival and departure date, by email. Please read more.

Copy of Learning Agreement (EULAlinks) (EULAsense): duly signed by the Home and Host Universities within the first month after arrival (undergraduate and master level exchange students only), by email

Copy of Transcript of Records (EULAlinks) (EULAsense)(undergraduate and master level grantees only) by email

Original boarding passes of both arrival and departure dates by post (boarding passes of the arrival date are requested to be handed in earlier for your own convenience)

Online Final Report (EULAlinks) (EULAsenseThe last payment of the subsistence grant will be linked to the provision of the final report by the grantee and be paid towards the end of the last month of the scheduled mobility.   

Only original travel tickets and receipts sent by post are accepted. Other documents can be emailed to info[a] The reduction (10%), or in some cases the last installment, is paid on the grantee’s European IBAN account. In case the bank account must be closed before departure, grantee is obliged to inform the Coordinator on the new banking details before the last payment is made, by submitting banking details information.

Annual reporting

Grantees whose mobility period exceeds 12 months must submit the following documents:

Copy of Learning Agreement for next semester or academic year duly signed by the Home and Host Universities (undergraduate and master level exchange grantees only)
Copy of Transcript of Records (undergraduate and master level grantees only)
Online Annual Report
Supervisor’s statement (doctorate grantees only) which states the academic progress of the grantee during the mobility period.

Enclosures for Annual Reporting must be emailed to info[a] within 2 weeks after the first 12 months of exchange period.
